Courses held outside EMBL-EBI - guidelines for hosts

Before you start

Our off-site training programme has been running since 2006 and is in great demand. We have therefore implemented a simple process to ensure that your training needs are met. You need to start this process about a year before you want your workshop to take place.

Step 1: check your facts

Download our guidelines for hosts

Before you contact us, we need you to do a bit of preparatory work to ensure that…

  1. The training that we offer will be useful to your organisation
  2. You’ve got access to the right sort of training facilities
  3. You understand how much time and money you will need to invest in hosting a workshop

Send us an email containing the completed ‘check your facts’ part of the guidelines and we’ll arrange a time to call you so that we can start making plans. During this call, we’ll work out which topics are most relevant to your organisation and talk you through the next steps.

Step 2: complete the paperwork

At this stage we’ll need you to complete a couple of forms, both embedded in the guidelines document:

  • A checklist to make sure that you fully understand your responsibilities as a host, that you know what to expect from us, and that both parties have all the information that we need to go ahead and deliver your workshop.
  • A short letter of agreement to confirm that you understand what your responsibilities will be.

Step 3: raise awareness

By now we’ll have everything we need to create a web page for your workshop and open it to applicants. You will need to promote your workshop to others in your organisation to ensure that it’s a success.

This consists of a poster template and a set of customisable email announcements.

Step 4: the main event

You’ll have a busy couple of weeks in the lead up to your workshop and during the event itself; there’ll be tutorials and programmes to print, the training room to set up, meals and refreshments to confirm, and trainers to meet and greet. You will almost certainly need some local help; that’s why we ask you to identify who’ll be able to assist you when you first begin to plan your workshop.

Step 5: reflect and plan for long-lasting impact

After the workshop we’ll send you the feedback from the trainees and will also ask you to give us your feedback. This might also be a good time to think about whether there are other areas of bioinformatics that your organisation might benefit from learning about. You might also consider whether you or another member of your organisation would like to receive some advanced training on EMBL-EBI data resources and tools, with the goal of providing training on these topics locally.
